Sokocentre Limited – Vendor Onboarding Policy

  1. Purpose

This Vendor Onboarding Policy outlines the procedures, requirements, and expectations for third-party vendors seeking to list and sell products or services on the Sokocentre platform. The policy ensures a consistent, professional, and secure experience for all parties—vendors, buyers, and the Sokocentre team.

  1. Scope

This policy applies to all prospective vendors, suppliers, and service providers registering on Sokocentre as individual sellers, business entities, or brand partners. It also applies to internal Sokocentre staff responsible for vendor management.

  1. Eligibility Criteria

To be onboarded, vendors must meet the following minimum requirements:

  • Be a legal entity or individual of legal age authorized to operate a business.
  • Possess valid government-issued identification (individuals) or registration certificates (companies).
  • Provide evidence of ownership or authorization to sell listed products.
  • Comply with Sokocentre’s Terms of Use, Privacy Policy, and Product Listing Guidelines.
  1. Required Documentation

Vendors must submit the following documents during onboarding via email or WhatsApp

For Individual Sellers:

  • Government-issued ID (e.g., Passport, Driver’s License, Voter ID)
  • Proof of address (utility bill or bank statement)
  • Mobile Money or Bank Account Details

For Business Entities:

  • Certificate of Incorporation or Business Registration
  • Tax Identification Number (TIN)
  • Business bank account details
  • Contact information of a designated representative
  1. Onboarding Process

The onboarding process consists of the following steps:

  1. Registration: Vendors sign up on the Sokocentre platform and fill out the vendor application form.
  2. Document Submission: Vendors upload the required documents via the portal or email.
  3. Verification: Sokocentre conducts a background and compliance check.
  4. Approval Notification: Once approved, the vendor receives login credentials and platform orientation materials.
  5. Training (if applicable): Sokocentre may provide onboarding training on:
    • Product listing standards
    • Order and inventory management
    • Customer service expectations
    • Use of vendor dashboard and reporting tools
  6. Account Activation: Vendor account is activated for live sales upon completion of all requirements.
  1. Listing & Product Approval
  • Vendors must adhere to Sokocentre’s Product Listing Policy.
  • Listings must include clear descriptions, pricing, and images.
  • Prohibited, counterfeit, or unauthorized goods are strictly disallowed.
  • Sokocentre reserves the right to remove any product that violates its terms without prior notice.
  1. Vendor Responsibilities

All vendors must:

  • Maintain accurate stock and pricing information
  • Ensure timely fulfillment and delivery of orders
  • Provide responsive customer service
  • Comply with local laws and regulations
  • Uphold Sokocentre’s brand reputation and customer trust
  1. Performance Monitoring

Sokocentre will evaluate vendor performance on the following criteria:

  • Order fulfillment rate
  • Return and complaint rate
  • Customer reviews and ratings
  • Response time to inquiries and disputes

Vendors falling below performance benchmarks may be subject to warnings, temporary suspension, or permanent delisting.

  1. Fees & Commissions

Sokocentre will charge commissions on sales as per the current vendor fee schedule. Any updates to fees will be communicated in advance.

  1. Termination & Suspension

Vendor accounts may be suspended or terminated for:

  • Breach of terms and policies
  • Repeated customer complaints
  • Fraudulent activity
  • Legal violations

Suspended vendors will be notified with reasons and, if applicable, conditions for reinstatement.

This policy is reviewed periodically and may be updated at Sokocentre’s discretion. Vendors will be informed of major changes prior to enforcement.
